Why one inbox for every location changes how a team handles reviews

When reviews from every Google Business Profile land in one place, response time, consistency and oversight stop depending on who happens to check

This post is available in English only

Most multi-location businesses start with the same arrangement: each location’s Google Business Profile is managed by whoever set it up, and replies to reviews happen when that person remembers to look. It works for one or two locations. It stops working the moment there are ten.

The problem is not effort, it is routing

Teams rarely ignore reviews on purpose. The reviews are simply spread across profiles, and nobody has a view of what is unanswered. A manager who checks three profiles on Monday has no way of knowing that a fourth collected two complaints over the weekend.

A single inbox changes the question from “did anyone check?” to “what is still open?”. MX syncs reviews from every connected profile into one list, splits it by reply status (needs reply, draft, awaiting approval, replied) and lets you narrow it to one location or group, a sentiment, low ratings or a date range. The Review Inbox guide walks through the list in detail.

Consistency comes from the same place

When replies are written in one tool, the tone and the rules can be shared. AI Reply settings in MX set the reply languages, the tone, the length and the signature once for the company, and AI drafts follow those settings rather than each person’s habit. The draft is still a draft: an owner writes or generates it, and it waits in Approvals until an owner, admin or approver signs off before MX hands it to Google.

Oversight without a spreadsheet

Review Analytics shows, for the location or group you pick, how many reviews came in and how many were replied to, the average rating, how sentiment and stars are spread, which experience areas and topics customers mention, and a short list of suggested actions. The same data that used to be collected by hand into a monthly spreadsheet is available as a view that updates as reviews are analysed. The Review Analytics guide lists what the page shows and what it does not.

What stays with the team

None of this removes judgement. Whether MX drafts replies on its own, whether those drafts go to approval for every review or only positive ones, and whether approved replies are sent without a manual step are automation settings an owner or admin turns on; all of them are off to start with. Which reviews need a phone call instead stays a decision a person makes. The inbox makes sure those decisions are applied to every location, not just the ones someone remembered to open.
